Build a Complete Supplier Profile (Step-by-Step)

The end-to-end walkthrough: add a supplier, fill in contacts and attributes, upload media and certificates, send assessments, add facilities, and link subcontractors and upstream partners.

  1. Navigate to Supply Chain to access the Supplier Library
  2. Next up, click on Suppliers to view and manage your supplier information and details.
  3. Next, click the Add Supplier button to create a new supplier
  4. Next up, enter the supplier name in the Name field to add a new supplier.
  5. Following that, select a supplier role from the dropdown menu to complete the form.
  6. Then, click the Submit button to confirm and add the new supplier to your directory.
  7. These fields are automatically populated when you create the profile in the previous step.
  8. It is recommended to always include your internal supplier code to ensure consistency and avoid confusion across systems.
  9. The “Hide supplier data” toggle can be enabled on a supplier profile to prevent that supplier’s information from appearing on public pages like traceability views or supplier profile.
  10. Add the contact email address(es) - you can include multiple. An email address is required to use Trace, as traceability and supplier assessment requests are sent directly to these contacts.
  11. Adding a description is optional. If you choose to display the supplier profile publicly, this section allows you to provide additional context about the supplier.
  12. After that, click the Save button to store all supplier profile changes.
  13. Use the Attributes section to manage custom supplier attributes that are important to you.
  14. From the Manage Attributes button, you can assign additional attributes to specific suppliers. Allowing you to differentiate between suppliers where needed.
  15. Check desired attributes and click apply.
  16. Enter attribute value to be assigned to this supplier.
  17. Afterwards, click the Save button to store all supplier attribute changes.
  18. In the Settings tab, you can configure supplier attributes and choose to set certain ones as default. Default attributes will automatically appear in every supplier profile.
  19. Afterwards, click the Media tab to view and manage supplier media files.
  20. Adding a logo is optional, but recommended if you plan to fully publish the supplier profile in the DPP. The logo will be displayed in the published view
  21. Click + Add Images to upload images to the supplier profile. This is relevant if the supplier profile is displayed publicly.
  22. Repeat the same steps to add additional images.
  23. Images can be rearranged by dragging and dropping them. The image order determines how they appear on the DPP.
  24. Click save to save progress after you uploaded all media
  25. Click the Certificates tab to manage supplier certifications
  26. Following that, click the Add certificate button to upload new certifications.
  27. Upload the file
  28. Following that, click the Next button to proceed with the certificate upload.
  29. Following that, click the Submit button to save the certificate data.
  30. Certificate will show up under certificate view in Supplier profile.
  31. Or access it through the Certificate Library.
  32. Click here to edit the certificate information.
  33. Upload a logo for the certificate. Otherwise, the first letter of the certificate name will be displayed.
  34. From here, enter a detailed description of the OEKO-TEX 100 certification in this field.
  35. After that, click the Save button to store the certificate information.
  36. From here, click the Assessments tab to view supplier assessment records.
  37. After that, click the Create Assessment button to start a new supplier assessment.
  38. There are two assessment types: Supplier and Trace. Choose Supplier if you want to assess the supplier as a whole (e.g. certifications, policies, general compliance).
  39. Choose Trace if you want to assess specific products. Once you select Trace, a new field will appear where you need to choose the purchase order you want the trace form to be sent for.
  40. Select the contact email address. The available options are automatically populated based on the email addresses added to the supplier profile.
  41. Select the relevant assessment template from the dropdown
  42. Then, click the Submit button to send the assessment to the supplier.
  43. You can monitor and manage the assessment directly from the supplier profile.
  44. Alternatively, navigate to Trace → Assessments to monitor the assessment there. This section provides an overview of all assessments.
  45. Click on Facilities to add and manage facilities.
  46. Click here to add a facility
  47. Use the Location search field to find and add a facility location. You can enter the full address, or at minimum provide the country and city.
  48. Next, indicate whether the location is the headquarters or a manufacturing facility.
  49. Next, click the Add facility button to register a new manufacturing location.
  50. Once location is added, click on the Show map button to display the facilities locations on a map.
  51. To add additional facilities click on Add facility button and repeat the same steps.
  52. All Supplier falilities will be displayed on the map.
  53. Click the Subcontractors tab to manage subcontractors linked to this supplier.
  54. A Subcontractor is a company hired by a supplier to perform part of the manufacturing process. This information is usually provided by Supplier in trace assessment.
  55. Click Add Subcontractor to link a subcontractor to this supplier.
  56. Select the supplier(s) from the dropdown to add it as a subcontractor.
  57. Click Submit to add the selected subcontractor(s).
  58. Click the chevron to expand and view subcontractor details.
  59. The supplier is now listed as a subcontractor.
  60. An Upstream Partner is a company that provides materials or components used to produce the product earlier in the supply chain. This information is typically provided by supplier in trace assessment.
  61. Click Add Partner to link an upstream partner to this supplier.
  62. Select partner(s) from the dropdown list to add them to the supplier profile.
  63. Click Submit to add the selected partner.
  64. Click the arrow to view partner details.
  65. The partner now appears under the Upstream Partners tab.
